Problem

Our solution addresses critical challenges in resource management and strategic workforce planning by creating a seamless, automated data aggregation and analysis system. While this is a challenge faced by various industries, interior designers often must accommodate short schedules and respond to design and resourcing changes on a weekly basis. Many off-the-shelf project management tools available in the market attempt to solve this problem, but do not have the flexibility needed at weekly workload or ability to connect to multiple data sources.   iN Studio’s workflow tackles these issues by integrating multiple platforms—Smartsheet for project scheduling, Microsoft Dataverse for employee information, and HRMS systems for time-off tracking—into a unified, automated process.   The key challenges solved include: 1. Data Fragmentation: By automatically pulling data from different sources, we eliminate the need for manual data entry and reduce the risk of human error. Information from project schedules, employee profiles, and time-off records is collected and consolidated effortlessly. 2. Visibility and Forecasting: The system provides real-time insights into project staffing, available hours, and potential resource gaps. This enables proactive decision-making for hiring, project assignments, and capacity planning. 3. Oversight at Macro and Micro Levels: The automations assist us by filling all assigned time from schedules to a SharePoint List that is edited as needed by leadership before being automatically sent to staff to inform them of the weekly assignments. The same project data is utilized to analyze the long-term workload.  4. Scalability and Flexibility: Power Automate and Power BI integrations allow for dynamic reporting and analysis, each new project is automatically rolled into the existing reports and assignments. 5. Standardization: By creating a consistent method of gathering and analyzing resource data, the organization ensures more objective and data-driven workforce management.   The result is a robust, automated system that transforms how we approach resource allocation, turning a traditionally complex and time-consuming process into a streamlined, intelligent workflow that supports strategic business objectives
